A Commercial Generator Installation Needs a Business Shutdown Plan

Transfer-switch work, electrical connections, fuel coordination, testing, access, and commissioning can affect operations even when the final generator runs automatically.

A standby generator is purchased to reduce disruption during future utility outages. Installing it can require planned disruption of its own.

The project may involve electrical connections, a transfer switch, fuel work, equipment placement, permitting, testing, and a controlled outage while the new system is connected and commissioned. Our commercial generator work can often be staged or scheduled during off-hours to reduce the effect on normal operations. The facility should prepare for that work before the generator arrives. A good shutdown plan protects business operations while giving Prairie Power and Kieley Electric the access required to complete and test the installation.

Identify the critical loads first

The commercial generator does not necessarily need to power every circuit in the building. We size commercial systems around the loads the business needs to maintain during an outage.

Create a list that may include refrigeration, freezers, information-technology equipment, network, point-of-sale systems, security, access control, selected lighting, emergency systems, heating, cooling, medical or dental equipment, sump or sewage pumps, production controls, communication, and selected office circuits. Then rank them. Critical means the business cannot operate or protect property without it. Important means the business can operate temporarily but with meaningful limitations. Optional means useful but not necessary during the planned backup window.

Document what cannot lose power during installation

The facility may contain equipment that needs special shutdown or temporary support, such as a server, refrigeration inventory, medical equipment, access-control system, alarm, point-of-sale system, process controller, phone system, network switch, cold storage, water or sewage pump, or tenant equipment.

Tell us which systems require a graceful shutdown, temporary power, vendor support, data backup, manufacturer procedure, staff supervision, restart sequence, or post-outage verification. Do not assume the electrician is responsible for shutting down every connected business system correctly. The facility’s information-technology, refrigeration, security, or equipment vendors may need to participate.

Choose the outage window from real operations

An off-hours installation is helpful only when the business truly has a lower-impact period. Review store hours, production shifts, cleaning, deliveries, inventory, server backups, refrigeration loads, patient schedule, alarm monitoring, school or childcare hours, tenant access, weekend events, overnight staff, and seasonal peak.

A restaurant may be closed to customers while food remains under refrigeration. A medical office may have no patients while information systems remain active. A warehouse may appear quiet while automated equipment is still operating. The shutdown window should account for what the building does when the front door is locked.

Assign shutdown responsibilities

Create a list before the scheduled outage. Name a shutdown owner, restart owner, and verification step for information technology, refrigeration, security, HVAC, and point of sale. Prairie Power and Kieley Electric manage the generator and electrical installation. The business should not leave every connected system’s shutdown procedure to the generator crew.

Plan the transfer-switch location and access

The automatic transfer switch is central to how the system responds during an outage. Its installation may require access to electrical rooms, service equipment, panels, walls, or exterior areas.

Before work begins, confirm electrical-room access, key or badge, working clearance, stored material removed, tenant notification, panel labels, existing drawings, equipment identification, water or moisture issues, security escort, parking, loading, and lift or equipment access. The transfer equipment should remain accessible for later inspection and service. Do not plan decorative storage or cabinetry around it before the final layout is approved.

Fuel coordination needs one owner

Commercial systems may use natural gas, propane, or diesel depending on the property, power requirement, and fuel availability. The project should identify who handles the fuel provider, tank, gas meter, regulator, pipe, excavation, delivery, initial fill, testing, inspection, ongoing fuel monitoring, winter access, and emergency contact.

A generator can be electrically complete while the fuel side remains unfinished. Set the coordination responsibilities in the proposal and project schedule.

Protect the installation area from normal traffic

The generator may be installed near loading, parking, snow storage, landscaping, a dumpster, a delivery lane, mechanical equipment, a public walkway, roof drainage, a security fence, or utility equipment. The final location should account for service clearance and protection from vehicles, snow equipment, stored material, and property changes.

During construction, define the work zone, equipment staging, excavation, temporary fencing, delivery route, employee route, customer route, snow-plow restriction, landscape restoration, and final access. A business should not discover after installation that delivery trucks regularly need the same space as generator service.

Commissioning should test the approved operation

Our commercial process includes testing and commissioning after installation. The facility should understand what the commissioning test will include. Questions may involve generator startup, automatic transfer, critical loads, load management, voltage and frequency, fuel operation, alarm, controller, shutdown, return to utility, remote monitoring, and exercise schedule.

Some systems may require coordination with equipment vendors during the test. For example, the information-technology team may need to verify servers and network equipment after the transfer event. Homes follow a different path on residential installation, and farms may look at agricultural generators when the load profile is production-driven rather than retail or office.

Create a restart order

When utility power returns after the planned installation outage, several systems may attempt to restart at once. The facility should establish the correct order with its relevant vendors.

A restart checklist may include confirming the electrical system returned to normal, generator and transfer equipment confirmed, security and access control verified, information technology restarted and checked, refrigeration temperatures confirmed, heating or cooling checked, production or specialty equipment restarted, point of sale tested, lighting and ordinary circuits reviewed, and a final building walkthrough. The exact order depends on the business. Do not rely on every device restarting correctly without verification.

Train more than one employee

Our installation process includes a walkthrough of system operation. At least two people should understand the normal controller display, exercise schedule, basic status lights, remote monitoring, fuel information, who receives alerts, what not to reset, emergency contact, service plan information, location of records, what happens during an outage, and which loads are backed up.

One facilities manager eventually goes on vacation or leaves the company. The generator record should remain useful to the business. Ongoing repair needs after commissioning still belong on the residential repair conversation when a commercial site later needs diagnosis on installed equipment.

Keep the commissioning file

Save the load list, generator specifications, transfer-switch specifications, electrical drawings, fuel information, permit and inspection records, commissioning report, test results, controller instructions, exercise schedule, remote-monitoring login, warranty, service plan, vendor contacts, shutdown plan, restart plan, and photographs.
